Managing Individual Entries

NEW EXPERIENCE: This article covers how to manage entries in the new Wufoo experience. Try it out!

You can view and manage individual entries to your form from the Entry Manager.

To see an individual entry:

  1. Log in and go to Forms.
  2. To the right of the form, click the l All Entries icon.
  3. (Optional) Search or filter for the entry you want to find.
  4. Click the ID of the entry you want to view or manage.

Viewing an Entry

When you view an entry, you can see how the person filled out the form, plus any edits Users in the account made.

Each entry has an ID number which is set by the order entries are submitted. This number never changes, even if you delete an entry. For example, if you have 3 entries and delete #2, entries #1 and #3 will not change.

At the top of each individual response, you can see the following response metadata:

There are 2 possible entry statuses:

  • Complete: The respondent filled out the form and clicked the submit button at the end.
  • Incomplete: The respondent filled out at least one page of a multi-page form, but didn’t click submit at the end of the form. It's not possible to have an incomplete status on a single page form.
Date createdThe day the entry was submitted.
Date modifiedIf a User edits an entry, this is the day it happened. The modified by section shows who edited the entry.
IP addressThe IP address of the person who filled out the form.

Managing an Entry

You can edit, print, download, email, or delete the entry. To leave an internal comment about the entry, click the q Jump to Comments icon. Comments can only be viewed in the Entry Manager and aren't included in exports.

TIP! If you have any Admin Only fields in your form, you can fill them out by editing entries.

Managing Entries in Legacy Wufoo

We recommend switching to the new Wufoo experience to make sure you get all the latest features. However, if you're still using legacy Wufoo, this will help you view your entries.

Managing Entries in Legacy

To manage an individual entry:

  1. Log in and go to Forms.
  2. To the right of the form, click Entries.
  3. Choose All entries.
  4. At the bottom of the page, click on an entry in the datagrid to view and manage it.

Description
1The title of the form.
2The entry data (the response to the form).
3Any attachments uploaded to the form, if there's a File Upload field in your form.
4The entry number. #1 is the first entry that was submitted. This number does not change if you edit or delete entries.
5The date and time the entry was created. On a single-page form, this is when the form was submitted. On a multi-page form, this is when the first page was submitted.
6The IP address of the person who filled out the form.
7The date and time the entry was updated and by whom in the Wufoo account. If the entry was never edited, you won't see this box.
8Create a new, blank entry that you can fill out and submit. Or edit, email, print, or delete the entry that you're viewing.
9On a multi-page form, you'll see whether all pages in the form were submitted or not. On a single-page form, you won't see a progress bar.
10Use these arrows to go back to the previous entry or to move forward to the next entry.
11Leave a comment about the entry. Comments can only be viewed in the Entry Manager—they aren't included in exports.

You can manage all the individual entries for your form from the Entry Manager. At the bottom of the page, click on an entry in the datagrid to view and manage it.
