Managing Users & Permissions

Adding new users to a Wufoo account lets you work with a team to build forms, themes, and reports.

To get to the User Management page, log in and go to Users.

User Roles

The type of information you can see or edit in an account depends on what your user role is. There are three types of users:

  • Account Creator: The person who created the Wufoo account and has access to everything in the account. If you're the Account Creator, it says Account Creator under your name on the User Management page.
  • Admin: People who have access to all forms, reports, and themes and can manage other users in the account. If you're an Admin, it says Admin under your name on the User Management page.
  • User: Users (with a capital U) only have access to some forms, themes and reports in the account, depending on their permissions. If you're a User, you'll only see yourself listed on the User Management page.

Managing Users

The Account Creator and any Admins in an account can view and edit user info and permissions, as well as add and delete users.

Adding Users

The number of users you can add to an account depends on your plan, which you can see in the Account Manager.

To add a user:

  1. Log in and go to Users.
  2. In the upper-right corner, click green +New User button.
  3. Type in the user's name and email address. No two users can have the same email address.
  4. Before you continue, read over the info on logging in. It's important to remember Admins and Users in an account need to log in using the unique Account Login Link—they can't log in directly from the Wufoo home page.
  5. Click Create User. We'll send an email to your new Wufoo friend with their login details.
  6. Set up the user's permissions—by default, people you add to your account can't access anything until you grant them permissions.
Duplicating Users

You can create a new user by duplicating an existing user. This is a great way to add a new user to the account when you want them to have the exact same permissions as someone else.

To duplicate a user:

  1. Log in and go to Users.
  2. In the Your Users box on the left, click the green circle with the plus sign next to the user you want to duplicate.
Deleting Users

To delete a user:

  1. Log in and go to Users.
  2. In the Your Users box on the left, click the red circle next to the user you want to delete.
  3. Confirm that you want to delete the user. Once you confirm, they're no longer able to log in to the account. We don't email them to let them know—we'll leave that up to you.
TIP! You can't delete the Account Creator, but the Account Create can update their name and email address to transfer the account to someone else.
Setting Up Permissions

When you add a user to an account, by default they have no permissions, but you can set them up in no time.

Creating an Admin

To give someone the most access possible, make them an Admin:

  1. Log in and go to Users.
  2. In the Your Users box on the left, click the user.
  3. Underneath their email address in the middle of the page, check the box for Administrator.
  4. Click Save Profile.

Adding Permissions

To choose the permissions someone has:

  1. Log in and go to Users.
  2. In the Your Users box, click the user.
  3. In the blue box labeled This User Can Do the Following, check the boxes to allow them to create new forms, reports, or themes.
  4. In the green box labeled This User Can Access, click the Add Permissions button.
  5. Choose the forms, reports, and themes you'd like them to be able to access, and click Save Permissions.
  6. Use the dropdown menu to give them permission to view and edit the form or just to view it.
  7. In the yellow box in the middle, Click Save Profile.

If a user has permission to create new forms, they will be granted full permissions for any new forms they create.

Editing User Info

Any User can edit their own user information. To edit someone else's info, you need to be the Account Creator or an Admin on the accout. Only the Account Creator can edit their own info.

  1. Log in and go to Users.
  2. In the Your Users box, click the user.
  3. In the yellow box with user info, edit the info.
  4. Under Confirm Your Password, enter in your password—Not the user password.
  5. Click Save Profile.

Common Questions

Why can't I save when editing user info?

Make sure to enter in your password in the Confirm Your Password box instead of the password of the user. Then click Save Profile to save your changes.

Why can't I log in?

If you were added as a user to a Wufoo account, you need to log in using the Account Login Link you were emailed—you can't log in from the Wufoo homepage.

How many users can be logged in at a time?

Everyone in an account can be logged in at the same time. However, only one person should be editing a particular form or report at a time. If two people edit the same page at the same time, changes made by whoever clicked Save last would overwrite any changes made by another user.

Why can't I find a form or report or make my own?

You probably don't have permissions. Contact the Account Creator or an Admin in the account who can help you out.

How can I change the owner of my account?

You can change the owner of your account if you're logged in as the creator. To change ownership of your account:

  1. Log in and go to Users.
  2. In the Your Users box, click the Account Creator.
  3. In the yellow box with user info, edit the Name and Email Address.
  4. Click Save Profile.

Once you've changed the account owner, you can update the billing info with the details of the new account owner.
